What we built

With over 1000 employees submitting multiple timesheets each week, management found it difficult to track who was submitting timesheets. Timesheet compliance is essential to Real Chemistry’s business because any timesheet submitted after 2 weeks can no longer be billed to the client. As a result, Real Chemistry was losing millions to un-submitted timesheets. Simultaneously, the operation’s time was wasted attempting to reconcile missing time sheets and continuously emailing those who had not submitted their timesheet. As a result, Build Labs created a standalone app that securely accesses Real Chemistry’s systems, checks for missing timesheets, automatically notifies owners of un-submitted timesheets, and offers business data on timesheet trends.

Our Technical Solution

The application was designed to run in a serverless format using AWS Lambda. All Lambda functions run on set schedules defined by Real Chemistry via an admin interface. During the scheduled time, a request is made for OpenAir to send a list of all users’ timesheets. The application then pairs the timesheets with user profiles in Okta.

The system logs a verification if a user has already submitted their timesheet. Otherwise, if the user is not compliant, a series of automated warning emails are sent to the user. Then, after a predetermined amount of time, a final email informs the user they are still out of compliance, and further action will be taken. Finally, the systems automatically move the user to an Okta “blocked” group, limiting their access to company tools until their timesheet is appropriately submitted.

The software also has a manual override toggle that turns off the automation of the software. This switch allows for greater control for management and greater transparency during the process for the employees.
